How To: Review an Out-of-Class Testing Request as an Instructor

Overview

This article describes the steps for instructors to review an out-of-class testing request.  The request is initiated by the student, who has discussed this with the instructor prior to submitting the request.  The instructor then reviews the request to approve, deny, or send it back for changes.  If approved, the request will then be automatically routed to the Center for Accessibility and Essential Needs (CAEN) for review.

Review a new request

When an out-of-class testing request requires review, an email notification is sent from Kuali Notifications to the instructor selected on the form by the student.

Step 1: Click the Begin Review button in the email notification to open the form for review.

Step 2: In the Out-of-Class Exam Date & Time section,

  1. Review the request out-of-class exam date and start time by the student.
  2. Enter the approved out-of-class exam date and start time along with the other information in the Instructor's Section. The "Approved Out-of-Class Exam Date" can be typed in the format MM/DD/YYYY or chosen using the date picker control.  (If using a screen reader, use the down arrow key while focused on the field to move focus to the data picker.  Once focus is on the date picker, the days can be navigated using the arrow keys.  The Tab can be used to navigate the month and year options.  Use the Enter key or Space bar to select the date.)
  3. When finished, click one of the action buttons described below.
    • Approve: If the preferred date and time are acceptable, complete the instructor section with information about the exam, and then click the "Approve" button.
    • Save: Click this button to save the information entered on the form to come back and finish later.
    • Send Back: If the preferred date and time or any other information needs to be changed, click the "Send Back" button, and enter a comment requesting the student to make the corrections and submit the form back to the instructor.
    • Deny: If the student will not be allowed to take the exam outside of class, click the "Deny" button, and enter a reason for denying the request.  An email notification will be sent to the student and the CAEN office.  Note that the student will not be able to correct this same request and submit again, like the "Send Back" feature.  Instead, the student will need to create a new request.

 

Review a request sent back to you for edits

When an out-of-class testing request is sent back to the instructor for edits, an email notification is sent from Kuali Notifications to the instructor selected on the form by the student.

Step 1: Click the View Item button in the email notification to open the form for review.

Step 2: The form will open in this Workflow Status view.  Toggle the View to Review.

Step 3: The form will be shown in edit mode, with the comment entered for you by the CAEN office displayed at the top of the form.  Make your edits in the Instructor Section, and then click the Approve button to return it to the CAEN office.
